Terms and Conditions


By entering your information for the rental of a vacation home through Regency Towers, you are creating a binding agreement to rent the designated accommodations and are subject to the "Terms and Conditions" of this agreement. Any exceptions to the Rental Terms and Conditions must be approved in advance, and in writing, by Regency Towers. By giving your credit card number you agree to the policies stated below; you also agree that you are the legal cardholder authorized to use this credit card number.

Please note that all online bookings are subject to review/approval and may be cancelled and deposits refunded within 48 hours should your reservation not be accepted. Additionally, all units are subject to availability, which may change at any time, and all rates quoted are subject to change at any time.

DEPOSITS AND PAYMENTS: To guarantee your reservation, There are two options to choose from. They are as follow:

OPTION 1:  Pay a $500 Refundable deposit at time of booking the reservation.  If booking within 30 days of arrival, reservation cannot be changed/cancelled once booked and total balance is due at the time of booking. 

OPTION 2:  Pay a $50 non-refundable damage waiver, which is included in total quoted and covers up to $1000 in accidental damages. Intentional damages are not covered, and will be charged to the credit card on file, up to $500.  A $300 down payment is due at the time of booking, if choosing option 2.  If booking within 30 days of arrival, reservation cannot be changed/cancelled once booked and total balance is due at the time of booking. 


METHODS OF PAYMENT: We accept Visa, MasterCard, Discover, cashier's check, money order and personal checks. All payments must be in made U.S. Dollars.  All personal checks, money orders or cashier's checks must be made payable to Regency Towers. PERSONAL CHECKS MUST BE RECEIVED 45 DAYS PRIOR TO ARRIVAL TO ALLOW TIME FOR OUR ACCOUNTING PROCESS.

CANCELLATION POLICY: Reservations cancelled at least 30 days prior to arrival date, in writing, will receive a refund of all monies paid, less a cancellation fee of $100. If reservation is cancelled less than 30 days prior to arrival date, all monies paid (Rent & Deposit) is non-refundable and paid to the owner of the condo you are renting.  If booking within 30 days of arrival, reservation cannot be changed/cancelled once booked. We highly recommend purchasing Vacation Travel Insurance to avoid losing your vacation investment due to any and all unforeseen cancellations.

REFUNDS: NO REFUNDS will be made due to inclement weather, early departure or no shows. 

CHECK-IN: 4:00 p.m. CST. 5:00 pm CST during Spring Break, (unless prior arrangements have been made and agreed to in writing). If an early check-in is available a $75.00 fee per unit will be charged. No Check-in will be permitted until your rental account has been paid in full including all taxes and fees. Every effort is made to ensure units are ready by check-in time, but we cannot guarantee the exact time of occupancy due to unforeseen circumstances. 

CHECK-OUT: 10:00 a.m. CST., 8:00 a.m. Spring Break. Late Check-outs may be requested in advance and must be approved prior to the day of your arrival. A $75.00 ($100 Spring Break) fee per hour will be charged for all departures after 10:00 a.m, 8:00 am Spring Break. NO EXCEPTIONS.

RATES: Rates,and fees are subject to change until reservation is confirmed. Fees such as registration fees and any other fees or taxes that are paid to another entity are subject to change up to the arrival date and is out of our control.

AGE RESTRICTIONS: The Registering Guest must be at least 21 years of age and will be held responsible for all other parties and/or guests of the Registering Guest for compliance with this reservation. Additionally, Registering Guest for the unit must be an occupant of the unit for the entire length of stay. NO EXCEPTIONS.

OCCUPANCY RESTRICTIONS: Use and occupancy of the Property is limited to the named Guest(s). The maximum occupancy limit is six (6) people for one bedroom, eight (8) for a 2 bedroom, eight (10) people for three 3 bedroom, and twelve(12) for a 4 bedroom.  The maximum number is also based on individual units and the bedding arrangement for that unit.

IMPORTANT: All of our condos have a strict NO-SMOKING policy. Any evidence of smoking in the unit will result in additional charges of $500 or more to the credit card on file, depending on the size of the condo. Smoking is permitted on the balconies.

PETS AND SERVICE ANIMALS:  NO PETS ALLOWED, unless the dog is a certified ADA service dog.  Certification of all service animals must be presented to the Regency Towers Owner’s office staff upon check-in.  All rules regarding Service Animals in Common areas and walk areas must be observed throughout the stay.  Failure to abide by rules established will result in a fine and possible eviction.

I have read and understand the Pets and Service Animal Policy: 

PARKING PASSES: Each renter will be issued TWO parking passes maximum for a one or two bedroom unit and 3 & 4 bedroom units receiving 3 maximum. When we reach  70%(+) occupancy, then renters will be issued ONE pass for the inside lot regardless of occupancy of condo. All other vehicles will receive a OVERFLOW parking pass and will be required to park in the overflow lot directly across from the complex. Parking passes must be hung on rear view mirror and must be clearly visible at all times.

INCLUSIVE SERVICES: Rates include a one-time linen-towel setup for the standard max number of occupants (1 towel & 1 wash cloth per person). Standard Amenities are included in the rental rate. Although linens are furnished, please bring your own beach and/or pool towels, as linens are NOT to be removed from the unit. If linens are discovered missing after Check-out, the funds WILL be charged to the credit card on file, if the expense is outside the damage waiver amount. Guests will need to provide their own paper items and cleaning supplies. An initial set up of paper towels, 1 trash liner per trash can in kitchen and bathrooms, 2 dishwashing packets, 1 bottle dish detergent and one roll of tissue per bathroom  is provided. If this supply runs out during your stay, please provide your own supplies. Daily maid service is NOT INCLUDED in the rental rate.

CLEANING FEE: A housekeeping fee will be added to all reservations, regardless of the number of nights booked. The fee will vary depending on the size of the unit. This is paid to outside companies for cleaning and laundry services upon departure. If upon departure the room is left extra dirty, an additional cleaning charge will be charged to the credit card on file.

MAINTENANCE: Maintenance or service requests will be responded to as quickly as possible when a work order is put in. There are no rebates or refunds issued for any maintenance issues as every good faith effort is put forth to insure the property is maintained and is in good working order prior to your arrival. Maintenance Procedures: All requests for maintenance must be handled directly with Regency Towers Rental Dept. 1-800-874-8825.

PROPERTY CONDITION: All rooms of the Property should be cleared of extra items, such as floats, chairs, extra food, trash, etc upon check out. The Registering Guest agrees to follow the Check-out List, which will be emailed to guest and provided below. The Registering Guest agrees to keep that part of the Property, which he/she occupies and uses, as clean and safe as the conditions of the Property permit. Additionally, the Registering Guest and his/her accompanying guests, agree not to cause unsafe and/or unsanitary conditions in the common areas and remainder of the Property that he/she uses. Guest(s) further agrees to dispose of all rubbish, garbage, and other waste in a clean and safe manner and agrees to keep all plumbing fixtures in Property in clean and sanitary condition. The Registering Guest hereby acknowledges that additional charges may apply at departure in the event the terms contained herein are not met and will be charged to credit card on file. Guest(s) shall place ALL trash in chutes at appropriate locations on each floor or at assigned common areas.

To avoid any extra cleaning charges upon check-out, please make sure to follow the below instructions: 
- Load the dishwasher with all soiled dishes and run the wash cycle. You do not have to unload them.
-    Make sure all garbage is removed, including fridge/freezer items. Garbage is to be deposited in the trash chutes. Any beach      chairs, umbrellas, towels etc, must be removed also.
-    Place all dirty towels and sheets in the bathroom/hallway floor, not in tub.
-    Check all windows and doors and make sure they are locked.
-    Set    A/C    to    72    degrees

DOUBLE BOOKINGS: Double bookings are rare. In the event that your reservation for the premises overlaps or matches the reservation of another guest, Regency Towers reserves the right to relocate you to a different property within our rental program or that of another company. Every reasonable effort will be made by Regency Towers to ensure that the replacement property is comparable to the premises that you reserved. Regency Towers shall have the sole right to select such replacement property. You will have the option to (1) accept the replacement property and pay any additional monies that are owed, as the case may be or (2) reject the replacement property and receive a refund of all rents and fees paid for the premises. You hereby agree that your choice between these alternatives will be your sole remedy for any and all damages, liability or inconvenience arising out of the double    booking.

ERRORS AND OMISSIONS: Regency Towers has taken great effort to ensure the information on our website and all of our printed material is accurate. We cannot be held responsible for errors, omissions, or changes in prices by the property owners of Regency Towers. All rental properties are privately owned and their furnishings vary depending upon the owner's taste. Regency Towers cannot guarantee the presence of particular listed furnishings, because they may change from time to time depending on the owner's tastes.

FALSIFIED RESERVATIONS: Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will NOT be permitted to check-in.

LOSS OR THEFT: Regency Towers assumes no responsibility for any loss or theft of a guest's personal property, either from the room or your vehicle. Always use caution and lock your doors and windows when away from the unit and vehicle.  Any found items will be held for a maximum of one week. After such time, any unclaimed items will be delivered to a local charitable organization.

CAUSE FOR EVICTION: The Registering Guest and all parties with the Registering Guest will be subject to immediate eviction from the Property if the Registering Guest or parties of the Registering Guest violate any terms of this Agreement, including but not limited to, violation of the occupancy limits, pet provision, smoking, noise ordinance or parking. In the event of eviction from the Property, the Registering Guest shall forfeit all amounts paid, including deposit, and there will be NO REFUND of money.

NOISE ORDINANCE(S): All Guests agree to respect the Noise Ordinance and to use common sense in keeping noise volume low after dark. Any police enforced actions by the City, County or Home/Condominium Association are at the sole risk and expense of the Registering Guest and may result in Excess Damage Cost and/or immediate eviction and forfeiture of all amounts paid.  Quiet time is 11 PM-7 AM.  Please observe quiet time hours out of a courtesy of all guests.

ENTRY OF PREMISES: Registering Guest agrees to allow Regency Towers employees, vendors, contractors or subcontractors access to the rental property during your stay for any reason to make repairs, improvements, care for or manage the property.

HURRICANE POLICY: Hurricanes are always a possibility on the Florida Panhandle. ONLY in the event of a mandatory hurricane evacuation of Panama City Beach and the surrounding area, will a refund be given for all days covered by the   evacuation order.  We highly recommend purchasing Travel Insurance in case it is not a mandatory evacuation and you choose to cancel or shorten your stay!  WE WILL NOT REFUND IF IT IS NOT A MANDATORY EVACUATION.

INCLEMENT WEATHER/ BEACH CONDITIONS/ FLOODING/ CONSTRUCTION NOISE: Unfortunately, we cannot control inclement weather, beach conditions, and/or flooding or the owners having work done to their unit, causing construction noise, so there will be NO REFUNDS given due to these unexpected and uncontrollable weather events or construction events. Neither the property Owner nor Regency Towers shall be liable for events beyond their control, which may interfere with your scheduled occupancy, including but not limited to acts of governmental agencies, fire, strikes, war, noise and/or driving inconveniences from nearby construction sites. NO REBATE OR REFUND will be offered in these circumstances.

I have read and agree to the Hurricane and Inclement weather/beach conditions/flooding/construction noise Policies.

INTERNET SERVICES & CABLE: All of our properties offer high-speed internet service for your convenience. Due to the numerous different providers and the various ages and configurations of personal computers, we cannot guarantee that you will be able to connect.  Also, not all bedrooms in the units have cable boxes. The unit owner chooses whether he/she will pay for additional boxes for the cable to be in each unit.  All living rooms and master bedrooms have cable boxes, but not all spare bedrooms will have this. We will do our best to assist you, but cannot be held responsible and NO REBATES or REFUNDS will be offered if there are issues with the internet or all bedrooms do not offer cable service.

TELEPHONE CHARGES: With today's technology and use of cell phones, not all units have phones in them.  If there are phones in the unit, there is no charge for local telephone calls. All properties have long distance blocks. Long distance calls can be placed by either charging the long distance call to guest's home phone number or using a prepaid calling card.

POOLS AND SPAS: The property's owners association controls pool temperatures. Only one pool is heated in the winter months. Neither Regency Towers nor the property owners we represent are responsible for pool or spa temperatures, closures or malfunctions. NO CREDIT, DISCOUNT AND/OR RATE ADJUSTMENT can be granted for items mentioned above or circumstances beyond our control. There will be days when the weather conditions will not allow pool heaters to accommodate swimming and temperature recovery times will vary.

GRILLING: NO GRILLING ALLOWED - Florida Law prohibits grilling on the decks and balconies of rental properties. However, we have grills available for use on a first come first serve basis on the east and west end on the property on ground level.

By signing below, you are creating a binding agreement to rent the designated accommodations and are subject to the "Terms and Conditions" of this agreement.  Any exceptions to the Rental Terms and Conditions must be approved in advance, and in writing by Regency Towers Rental Manager.
